Team Fundraising, Budget, and Key Responsibilities
To ensure smooth operation throughout the season, it is essential that teams adhere to a structured budget and fundraising plan. Please review the following guidelines and expectations:
- Team Budget & Fundraising:
- A budget should be created and a team account opened if you plan to request sponsorships or donations. This will ensure proper management of funds. Please refer to the team Google Sheet template for guidance on budget creation.
- Keep fundraising efforts to a minimum, ensuring they are solely aimed at covering necessary expenses such as tournament fees. It is important that team fundraising does not conflict with or duplicate club-wide fundraising initiatives.
- Medicine Hat Lacrosse Club (MHLC) will not advertise team sponsors, and sponsors may not be directly solicited through the club. Refer to the MHLC_New Team Account Auth document below for instructions on opening a bank account.
- Sponsor Receipts:
- If your team secures a sponsor, you may issue them a payment receipt; however, MHLC is unable to provide official tax receipts.
- Team Schedule:
- Please enter the team schedule into TeamSnap, April is already populated. Game schedules will need to be added once they are received.
- All scheduling and referee bookings are managed by the Southern Alberta Lacrosse Association (SALA).
- Important Dates:
- March 28 - Junior A Exhibition Game 2:00PM
- March 30 - April 2 - Club wide bottle drive.
- April 18 - SALA league play begins.
- May 1-3 - U17 Wheatland crossover in Brooks.
- June 12-14 - LAX TO THE MAX Tournament.
- June 19-21 - SALA Championship Playoffs in Lethbridge
- July 10-12 - Provincials (for U13, U15, and U17 divisions, if eligible).
- Parent Meeting:
- Hold a parent meeting to discuss the season's expectations, determine participation in out-of-town tournaments, and review the budget and cash call. Use the provided agenda template as a reference and tailor it as necessary.
- Tournament Participation:
- You may book one additional tournament aside from the home tournament. Please secure a block of hotel rooms for the team to book.
- Submit your tournament date to the MHLC President at mhlc.president@gmail.com no later than March 31.
- Fundraising Restrictions:
- Individual teams are not permitted to run raffles, draws, or 50/50s. These activities are handled by the club through the home tournament.
- Jersey Management:
- Discuss jersey number assignments with the coach. Note that jerseys vary in size, with smaller numbers corresponding to smaller jersey sizes.
- Assign a parent volunteer as the “Jersey Parent,” who will be responsible for laundering jerseys after game weekends and ensuring they are available for all games and tournaments.
- For the season, avoid using iron-on or taped C's and A's; teams must purchase embroidered versions that can be removed at the end of the season without damaging the jerseys.
- Eye black is not permitted, it stains the jerseys. Teams or players who disregard this rule will be fined.

- Game Sheets:
- SALA is moving to electronic game sheets for the 2026 season. More info to follow.
- Medical Records:
- Collect and keep player medical forms on hand, stored in the team’s first-aid kit. Medical forms can be accessed on the SunDevils website under the Managers tab.
- Team Apparel:
- Share apparel ordering information with the team, but note that no external team stores are allowed to use the SunDevils logo.
- Team Photos:
- Coordinate with Kim Bratvold Photography to schedule team photos. Players should wear black jerseys. Kim can be reached at jbrat@shaw.ca or 403.502.9670.
For any templates referenced below, you must create your own copy before editing. Simply select File > Make a Copy, then rename it for your team.
